Complete an inventory check using the stock check feature

In this article, we explain how to perform a stock check for one or more residents.

The stock check feature allows you to perform accurate inventory checks for one or more residents. This process ensures medication counts are correct, helps identify discrepancies, and maintains compliance with local policies and procedures. You can also use the inventory and admin history to review and amend any inconsistencies.

Perform a stock check

  1. Click Stock Check.

  2. Choose either Controlled Meds or All Inventoried Meds.

  3. Choose either All Residents or Sample of Residents.

  4. Click OK.

  5. Count the medication items according to local policies and procedures.

  6. In the Manual Count column, double-click and enter the quantity for each medication.

    ⚠️ Important: Enter all quantities using a decimal point. For example, 27.0.

  7. Click Reconcile.

    • The system highlights discrepancies in red.

    • All discrepancies must be reported and investigated per local policies.

  8. To save and leave stock check while you investigate, click Finish Later.

    πŸ“Œ Note: You can resume later only if you remain logged into the system.

  9. Ensure data is reviewed and amended accordingly, then click OK.


Scenarios after reconciliation

Following from step 7 of the stock check, there are 2 scenarios that can occur to proceed with. Follow the steps:

Scenario 1: All medications reconcile without discrepancy

  1. At the bottom of the screen, a sign-off log appears.

  2. Enter your password.

  3. Have a witness verify the count, then enter their username and password.

  4. Click Done.

Scenario 2: Discrepancies found

  1. Investigate the discrepancies.

  2. Click and use Quick Adjust to:

    • Correct inventory to match the manual count.

    • Document the reason for the adjustment.

  3. Follow step 7 onwards to complete the stock check.
